GENERAL TERMS AND CONDITIONS
Poland Culinary Vacations, Inc. (“PCVI”) offers its clients (“Participants”) customized and intimate cooking vacations throughout the various regions of Poland. In so doing, PCVI engages a variety of quality service providers in Poland that include hotels, cooking instructors, guides, tour, bus operators, and interpreters among others. Many of these service providers require payment in advance in order to commit their time and resources to PCVI vacations. We make these advance payments to our service providers to secure the adequate implementation of our vacations as well as to ensure their quality. In the event of certain changes or cancellations for any reason, we must continue to honor our obligations to our service providers. It is for this reason, that all payments to PCVI are non-refundable. Therefore, in order to protect themselves from any eventuality (i.e. unexpected health conditions, flight cancellations, strikes, weather anomalies, natural disaster, adverse political or economic situations, war, terrorist acts, etc.), and for their own peace of mind, Participants are strongly advised to purchase travel insurance.
Deposit: A non-refundable deposit of $500.00 per person is required to make a reservation for a culinary vacation. Reservations will be confirmed upon receipt of a signed reservation and applicable deposit/payment. If the initial reservations are made within 60 days of the date of travel, full payment is due.
Final Payment: Final payment is due 60 days prior to the first day of travel. Final payment may be made by check, bank transfer, or credit card (VISA, MasterCard, American Express and Discover). If final payment is not received at the due date, reservation will be subject to cancellation and any deposit made will be forfeited in its entirety.
Late Bookings: For bookings less than 30 days prior to departure, there will be a late booking fee assessed of $125.00 per person, and full payment is required.
Travel & Trip Cancellation Insurance: Travel insurance is not included in the cost of the vacation, but we strongly recommend that you purchase travel insurance to protect your investment. PCVI will not compensate or assume any liability for travel delays, cancellations or other related travel expenses the Participant may incur for any reason and will not issue refunds or credits toward future trips.
Emergency Health Travel Insurance: Emergency Health Travel Insurance is also strongly recommended. It is important to inform PCVI of the 24 hour emergency telephone number supplied by the insurance provider. PCVI and its local representatives will make every attempt to assist in the event of an emergency, but they will not be responsible or liable for any costs related to such emergency. Cancellations due to medical reasons can only be covered by the Participant’s travel insurance carrier. PCVI is happy to assist with any necessary documentation to make a claim.
Cancellation: Notification of cancellation must be received in writing. Deposit and final payment are non-refundable and non-transferable. Cancellations due to medical reasons, emergency, catastrophe, accident or death can be covered by travel insurance. Full refunds will be made if Poland Culinary Vacations Inc. cancels vacation.
Refunds and Problem Resolution: There will be no refunds for any unused portion of the vacation. Poland Culinary Vacations, Inc. is not responsible for expenses incurred by Participants in preparation for the trip: non-refundable airline tickets, visa fees, equipment, etc.
If a problem or conflict with one of PCVI’s programs arises, it is the responsibility of the Participant to advise PCVI’s local contact as soon as possible so that an attempt may be made to resolve the problem quickly and within the limits described in these terms and conditions. If the problem is not resolved to the Participant’s satisfaction, he/she must notify PCVI of the problem while the program is underway. Otherwise, PCVI may not be able to take action, should any action be deemed appropriate. PCVI and its local representatives will act in good faith in attempting to resolve any problem.
Vacation Prices: All prices are per person in U.S. dollars and based upon double occupancy. Single and triple accommodations may be available with a price adjustment. Price is subject to change without notice as a result of adverse economic changes or currency fluctuations that may affect air/land transportation, hotels or other related service providers.
Transfers: Where transfers are included, there is one scheduled group transfer for arrival and departure at a designated time and place. It is the responsibility of the vacation Participant to be at the transfer point at the designated time. Private transfers can be arranged for an additional fee. PCVI and its service providers do not assume responsibility for late arrivals resulting from any reason, including flight delays.
Travel Documents: It is the responsibility of each vacation Participant to obtain and carry a valid passport, visa(s), and any other documents required by applicable government regulations. Non US residents may require special travel documents. Check with your local embassy or consulate.
Descriptive Statements: All descriptive statements regarding the standards as well as the quality and condition of any and all facilities, accommodations and services offered are made in good faith. Such statements are to be considered opinions and not facts. PCVI is in no way liable for any difference between the opinions of the Participant and those expressed in PCVI website, brochures, and promotional materials.
Certification of Health: By making payment the Participant certifies that to the best of his/her knowledge he/she is in sufficient good health to participate in PCVI vacations and that any special medical conditions or dietary demands that could affect his/her participation in said vacations have been fully disclosed to PCVI.
The Participant also certifies that he/she does not have any condition or disability that would create or hardship for other Participants. If allergies, dietary needs or restrictions are present, it is the sole responsibility of the traveler to take care of their own dietary needs. The Participant understands that health care standards, facilities and services in foreign countries may be insufficient for treatment of their health conditions. PCVI takes no representations or warranties as to special accommodations or handicap accessibility on any culinary vacation program. PCVI reserves the right to not accept nor retain any Participant whose health or actions in the sole judgment of PCVI may impede the operation of the culinary vacation program or the Participant’s welfare or enjoyment or fellow Participants welfare or enjoyment.
Participant Conduct: By making payment the Participant agrees to behave in such a manner that is respectful of others, including other Participants, PCVI service providers, local representatives, and employees. By making payment the Participant also acknowledges that he/she is a guest in a foreign country and that he/she will behave accordingly.
Alcohol may be served with meals and may be utilized in the preparation of certain dishes. For the safety and enjoyment of all involved, PCVI, through any of its service providers or local representatives, reserves the right to decline anyone who is inebriated from participating in cooking lessons or other program activities and may ask such person to leave the premises. The Participant is reminded that PCVI does not provide refunds for any segment of portion of a culinary vacation program which the Participant is not part of, especially if it is due to the Participant’s misconduct and/or inebriation.
The Participant is responsible for following program schedules/itineraries and for being on time at scheduled pick-up and drop off locations.
Responsibility: Poland Culinary Vacations Inc. and its representatives act only in the capacity of an agent of all air/land transportation, sightseeing, guides and operators and hotels which provide services included in the specified vacation. The individual vacation Participant agrees that Poland Culinary Vacation Inc. and its representatives shall not be liable for any injury, damage, loss, accident, delay, or irregularity, liability or expense to person or property due to any act of default of hotel, air/land transportation carrier, restaurant supplier or other contractor rendering or providing services. Poland Culinary Vacations Inc. and its representatives shall not be responsible for any expense or liability resulting from labor disputes, war, acts of terrorism, government restraints, weather conditions, sickness, pilferage or any other cause beyond their control. Poland Culinary Vacations Inc. and its representatives reserve the right to accept, or to retain or refuse any person as a Participant of any vacation or to cancel any program of a vacation if circumstances so demand.
Poland Culinary Vacations Inc. and its representatives reserve the right to cancel any vacation prior to departure for any reason (including insufficient number of Participants) or to change itineraries and/or substitute services or hotels of equal quality without prior notification.
The Participant understands that PCVI reserves the right to take photographic, film or video records of any of its programs, and he or she hereby agrees that PCVI may use any such photographic, film or video records for promotional, commercial and/or any other purposes without any compensation to the Participant. The Participant agrees to assign to PCVI all rights, title, and interest they may have in or to any media in which their names or likenesses might be used.
Assignment: This Agreement shall not be assignable by Participant, in whole or in part, without the prior written consent of PCVI.
Captions: The captions used in this Agreement are for convenience only and shall not be considered in interpreting this Agreement.
Entire Agreement: The Agreement, together with any Agreement, Release, and Waiver of Liability signed by the Participant, contains the entire understanding between PCVI and Participant with respect to its subject matter, and all prior discussions, negotiations, commitments, and understandings relating thereto are hereby merged in this Agreement.
Governing Law: All matters pertaining to the validity, construction, and effect of this Agreement will be governed by the laws of the State of Florida. The venue for resolution of any dispute between the parties to this Agreement that may arise out of this Agreement or otherwise shall be Indian River County, Florida, U.S.A.

POLAND CULINARY VACATIONS, INC is registered with the State of Florida as a Seller of Travel. Registration No. ST39171.
Payment Conditions
- A non-refundable deposit of $500.00 per person is required to make a reservation.
- If the initial reservation is made within 60 days of the date of travel, full payment is due.
- For bookings less than 30 days prior to departure, please add $125.00 per person for a late booking fee.
- Please add $350 to your total for single supplement.
